City University of London: library relocation across three central London campuses
- Move size: 165,000 books, 5,000 linear metres of stock, across 3 buildings.
- Buildings and access: a multi-campus university across Islington, the City of London, Holborn, Smithfield and Whitechapel, with collections that had to be reshelved in correct Dewey Decimal order, and access maintained for academics during the works.
- Scope: packing and off-site storage of stock, breakdown and clearance of the old library and decant back after refurbishment, the merger of the Whitechapel and West Smithfield collections into the main library when those sites closed, and the mapping and relocation of the Law library into an interim space.
- Timing and continuity: moves conducted out of term and out of hours, with temporary off-site storage and retrieval available for the client's use throughout, and stock transported on air-ride suspension vehicles.
- Outcome: delivered over 60 days, including the integration of around 12,000 items into an existing sequence of more than 150,000, in correct order. Library Services confirmed Universal were "efficient and diligent" and "proactive in identifying solutions." A relationship that has run since 2011.
Linklaters: in-occupation relocation of a global law firm HQ
- Move size: 1,250 people moved, across 19 move phases, in a single building.
- Buildings and access: the firm's One Silk Street global headquarters had to remain in full occupation for the entire duration of a major refurbishment, with disruption to fee earners kept to an absolute minimum.
- Scope: the in-occupation relocation of partners, lawyers, paralegals and support staff around live teams, while infrastructure and amenity refurbishment works were carried out across the building.
- Timing and continuity: moves ran out of hours and over weekends, with packing done during the working day and libraries moved after 6pm so facilities stayed available. Offices were photographed so filing and personal items were replaced exactly, over 600 sheets of hardboard protected the carpets, and Saturday completions left Sundays for a client walkthrough so staff started work on Monday morning. Weekly progress meetings kept the programme on schedule.
- Outcome: 1,250 people relocated over 19 phases in 38 days with the HQ fully occupied throughout. Using file trolleys rather than crates reduced client downtime and crate hire costs and removed the need for fee earners to pack.
