File Mapping and Packing

For an office that runs on paper records, the hardest part of a move is not carrying the files, it is making sure every one of them can still be found the moment the new office opens. File mapping is how we make that happen. Before anything is packed, we index the records and map them to their destination, so each box or file has a known place to go at the new site and can be located again straight away.

What file mapping actually is

File mapping is the process of recording what each set of records is, where it currently sits, and exactly where it will live at the new office, before the move begins. Every box, crate or run of filing is numbered and logged against a destination, meaning the specific room, bay and shelf it belongs on at the new site. That index becomes the map for the move. Instead of records arriving in a heap to be sorted over the following weeks, each numbered box is delivered to its mapped location and shelved in order, so the filing system is rebuilt exactly as it was, only in the new space.

Packing is planned around the map rather than done at random. Records are packed in sequence, kept in that order through the move, and unpacked or shelved against the same index, so the order that matters, whether that is alphabetical, by matter, by client or by date, is preserved from one office to the next.
